About the role
We’re looking for a detail-oriented and organised Administration Assistant to support our Finance Team with efficient data entry and administrative coordination. This role is key to ensuring accurate record-keeping, streamlined processes, and a well-organised workplace.
As our Administration Assistant, you’ll be responsible for entering and maintaining accurate data, managing documents, and supporting day-to-day administrative tasks. With strong attention to detail and excellent organisational skills, you’ll help keep systems up to date, ensuring that information is easily accessible, and processes run smoothly. Your ability to manage multiple tasks with efficiency and accuracy will contribute to the overall success of the team.
Key responsibilities
- Accurately input and update financial data into internal accounting and database systems.
- Organise and maintain financial records, ensuring all documentation is filed correctly for easy retrieval.
- Photocopy, scan, and electronically store financial and administrative documents.
- Match invoices with corresponding purchase orders, ensuring accuracy and resolving discrepancies.
- Assist with the preparation of financial reports and spreadsheets as needed.
- Communicate with suppliers and internal teams to follow up on outstanding invoices or missing documentation.
- Support with general administrative tasks, including emails, meeting scheduling, and general team coordination.
- Ensure compliance with company policies and procedures regarding financial record-keeping.
- Perform ad-hoc duties as required to assist the finance team in meeting deadlines and targets.
Key skills and experience
- Strong attention to detail and accuracy in data entry and document processing.
- Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
- Proficiency in Microsoft Office, particularly Excel and Word, with the ability to create and edit spreadsheets.
- Strong communication skills, both written and verbal, to liaise effectively with internal and external stakeholders.
- Ability to work independently while also being a team player in a collaborative environment.
- Previous experience in an administrative or finance-related role is desirable but not essential.
- A proactive and problem-solving attitude with a keen willingness to learn.
About you
You’re a highly organised and detail-focused administrator with a natural ability to communicate effectively across different teams. You can adapt your approach to suit different stakeholders and remain flexible when priorities shift.
You have a keen eye for accuracy, particularly when handling financial data and documentation. Proactive by nature, you anticipate challenges and find solutions before they become issues. In a fast-paced environment, you’re able to manage multiple tasks efficiently while maintaining a high standard of work.
Building strong relationships comes naturally to you, and you’re confident working with colleagues across departments. You’re trustworthy and discreet, handling financial and sensitive information with care and professionalism.
Experience in finance administration or a similar role would be ideal, and proficiency in spreadsheets and financial systems is a plus. Most importantly, you bring a structured, analytical approach and a commitment to supporting the team’s success.
